Swim meets wouldn’t be possible without the help of dedicated parent volunteers. Each team depends on parents to make meets run smoothly and efficiently, creating a positive experience for our swimmers. While volunteering can make for a long day, the smiles and cheers make it all worthwhile. Here’s everything you need to know about volunteering with the Swimmingly app and what to expect on meet day.

Why Volunteering Matters

Parent volunteers are crucial to the success of every swim meet. Not only do they help the meet run smoothly, but they also make it fun and memorable for the swimmers. Your support and enthusiasm bring energy to the team and create a positive atmosphere for everyone involved.

Getting Started with Swimmingly

Our team uses the Swimmingly app, which simplifies meet operations. The app streamlines tasks for timers, scorekeepers, and stroke and turn judges, making the entire meet process efficient and easy. Here’s how it works:

  • Download the Swimmingly App: The app is free and available on both iOS and Android. Volunteers should download it before meet day.
  • Roles in Swimmingly: Each volunteer role, from timers to judges, can operate through the app, eliminating the need for paper slips, runners, or manual data entry.

Volunteer Roles Needed for Each Meet

Here are the essential volunteer roles needed to keep things running:

  1. Timers: We need 2 timers per lane—that’s 6-8 timers in total. Timers receive an automatic start and simply press “stop” on the app at the end of each race, then submit the time. The app makes this super easy—no need for runners to collect times!
  2. Starter: The starter is responsible for beginning each race and signaling the timers. They also manage a test heat before the meet to ensure all timers are set up and ready.
  3. Scorekeeper: Each team has a designated scorekeeper who watches results come in on the app and ensures accuracy. There’s rarely an issue, but the scorekeeper can make corrections if needed.
  4. Stroke and Turn Judges: Judges monitor each race to ensure swimmers are using the correct techniques. Using the app, they can submit disqualification (DQ) notifications directly—no paper forms necessary!

What to Expect on Meet Day

  1. Pre-Meet Volunteer Meeting
  2. All volunteers meet 20 minutes before the start of the meet. During this time:
  • Timers will gather for a quick huddle to review timing procedures.
  • Stroke and turn judges will also meet to go over judging responsibilities.
  • The starter will confirm that everyone is set and prepared for the meet.
  1. Test Heat
  2. Before the meet officially begins, the starter will run a test heat to ensure all timers receive the automatic start signal. This test ensures that each role is synced and ready to go. Once the timers confirm, the first race is ready to start!
  3. During the Meet
  • Timers: Simply press "stop" at the end of each race and submit the time. If there’s a mistake, raise your hand to alert the starter. If you need a restroom break, call for a backup timer.
  • Stroke and Turn Judges: Keep an eye on each swimmer’s technique, and if a disqualification occurs, submit it through the app. The app removes the need for paper slips and speeds up the process.
  • Scorekeeper: Watch the results come in, keeping an eye out for any discrepancies, although issues are rare with accurate timing.
